Omniva’s operations are based on the principles of honesty and transparency. It is very important for us that all our employees follow our ethical values and beliefs.

If you notice any unethical behaviour, corruption, fraud, law- or rule-breaking we encourage you to inform us of the misconduct. A reporter can confidentially report violations, unethical behaviour or suspected misconduct through the Speak-Up Line.

Omniva’s Internal Audit Department manages the line and guarantees anonymity.

Reporting process

What can and must be reported?
Any behaviour by a company employee or our cooperation partner that the reporter considers illegal, unethical and/or fraudulent should be reported (see Omniva´s Code of Conduct).
For example:
- Discrimination, harassment or bullying.
- Pressuring others to do something that does not align with the company´s beliefs, values and ethical principles.
- Intentional non-compliance with the company´s internal rules.
- Bribe or corruption.
- Misuse of confidential or sensitive business information.
- Violation of environmental or occupational safety rules.
- An act that may lead to negative consequences (financial or reputational damage) for Omniva as an organization, for employees, or a specific person.
- Violation of competition laws.
- Concealing information or deliberate inactivity.
- Any other violations of the principles set by the company´s Code of Conduct.
What to keep in mind when speaking up?
To ensure that the potential misconduct will be handled most appropriately, we kindly ask the reporter, before submitting the information, to consider and answer the following questions:
- Where did the event take place?
- When did the event take place?
- Who was involved (names of the parties, job titles)?
- How was the misconduct discovered?
- Is there any concrete evidence of the misconduct’s occurrence available (supporting document, other witnesses)?
A reporter can decide whether to remain completely anonymous or to agree to share the contact information to be contacted for additional information or feedback throughout the investigation process. Omniva’s management structure guarantees the sender’s anonymity.
How is the information processed?
The information submitted via the Speak-Up Line and the further actions to be carried out are being decided by Omniva’s internal audit department who needs this data for the above-mentioned purposes.
All reports are taken very seriously except in cases wherein:
- The issue raised in the report is not among the ones for which the Speak-Up Line is reserved.
- The notification is not submitted in good faith or is motivated by the intention to cause harm.
- The information provided is not enough to launch an investigation and the reporter does not provide any additional requested information.
- The issue raised in the report has been already resolved.
During the investigation and depending on the subject matter, other persons, including law enforcement agencies, might be involved for information and assistance.
How do we provide feedback?

Within seven days after receiving the notification on misconduct, the reporter will get confirmation that Omniva has received and is processing the notice. We then give feedback on the implementation of follow-up measures within 3 months or, in justified cases, within 6 months of receiving the notification.
Feedback is not given when there’s a reason to believe that this would compromise the sender’s anonymity or the reporter has not filled in the contact information.
How do we protect the reported information?

We have adequate measures in place and apply due diligence for protecting the reported information throughout its lifecycle by having in place appropriate data protection and security safeguards.
Data protection, privacy and confidentiality rules are strictly followed throughout the process.
